Readiness & Governance

Measure the exposure before you widen the door

Copilot does not create governance problems. It surfaces the ones already sitting in your tenant. Sharing links nobody revoked, sites opened to everyone years ago, sensitive files saved beside routine ones. This phase measures that exposure, tells you how large it actually is, and gives you a framework for closing it.

The Problem This Phase Solves

Governance work stalls for a simple reason: nobody can size it. Until the exposure is measured, every conversation about cleanup is guesswork, and guesswork does not get budget.

Exposure nobody can size

Permissions accumulate over years of ordinary work. Everyone suspects there is oversharing; nobody can say whether it is a hundred files or a hundred thousand, so nothing gets planned.

Nothing marks what is sensitive

Salaries, deal terms, and board material sit in the same libraries as meeting notes, with nothing to tell them apart. No system can protect what it cannot recognize.

A policy nobody can follow

Twelve pages of acceptable use, approved by legal, read by nobody. Ask five employees what they are allowed to put into Copilot and you will get five different answers.

What Actually Happens

The assessment comes first, because everything after it depends on knowing the size of the problem. We scope the measurement, not the cleanup, until there is something real to scope against.

1

Scope the assessment

Agree which workloads, sites, and groups are in scope, and what a finding needs to include to be useful to your team. A short call, before anything runs.

2

Measure the exposure

The Oversharing and Permissions Assessment runs across SharePoint, OneDrive, and Teams, reporting what is actually shared, with whom, and through which sharing links.

3

Design the protection

How sensitivity labeling and data loss prevention should apply to your content, and in what order, worked out with your IT and compliance people before anything is switched on.

4

Scope the remediation

Cleanup effort depends entirely on what the assessment found, so it is scoped from the findings rather than estimated in advance. You decide what to fix now and what can follow.

What You Walk Away With

Findings specific enough to act on, in whatever form suits your organization.

An oversharing report with names

Not an estimate. The actual sharing links, the actual files behind them, and who can reach them, so your team can prioritize instead of speculate.

A data protection framework

How sensitivity labels and data loss prevention should apply across your content, sequenced so the material that carries real consequence is covered first.

Acceptable-use rules that fit

The policy turned into a handful of rules in plain language, taught inside the training so employees meet the rules while learning the tool.

How This Phase Is Delivered

Three components that fit together.
Most organizations start with the assessment and decide the rest from what it finds.

Assessment

The Oversharing and Permissions Assessment, run across SharePoint, OneDrive, and Teams, producing a report of what is exposed, to whom, and through which sharing links.

Advisory Sessions

Working calls with your IT and compliance people to walk through the findings, agree what matters most, and design the labeling and data loss prevention approach.

Enablement

Bringing your IT and compliance team up to speed on the governance decisions, and getting the acceptable-use rules in front of employees in a form they will actually read.

Every organization needs this assessment before a broad rollout, and some run it themselves. If you would like KnowledgeWave to run it, the work is carried out by a recognized Microsoft MVP who specializes in the Microsoft cloud.

How You Know This Phase Is Done

Not when the report arrives. When these four are true.

1

You can state the size of your exposure as a number, and you know where it came from.

2

The content that carries real consequence is labeled, and the protection travels with it.

3

Your acceptable-use rules are short enough that an employee can actually follow them.

4

Remediation is scoped and agreed, including what gets fixed before licenses go out and what follows later.

Find out how big it is before you decide what to do

Tell us roughly how large your tenant is and we can quote the assessment from there. What comes after is yours to decide. Your team can work directly from the findings, or we can work alongside you on the cleanup.
